Asset Management

Asset management that reaches the field

Track every asset across every site — condition, service history, and what it costs to keep running. Scan the QR code on an asset and its whole record opens on the phone in your hand.

From asset register to fewer breakdowns

Everything below runs off the same record — the one that opens when you scan the asset.

Prevent downtime before it stops production

Put preventive maintenance on autopilot. Schedule recurring work by date, by interval or by meter reading, and let readings that go out of spec raise the job themselves.

Turn requests into scheduled work

Anyone can raise a request — including people outside your team, through a public form with no login. Requests arrive in one queue, route to the right technician, and become jobs filed against the asset.

Know exactly how much uptime you have

Every asset carries its own availability record: when it went down, when it came back, and what was done in between. Uptime is calculated from the work, not typed in at month end.

Find the assets that cost you the most

Downtime hours, parts consumed and labour at your own rate, totalled per asset. See which machines are worth repairing and which are worth replacing.

Improve reliability with root cause analysis

Every job closes with a failure reason. Read them back per asset or across every site to see which faults keep coming back, and build the PM plan around those.

Measure asset condition with meter readings

Log running hours, temperatures and pressures against the asset and watch them move over time. Scan the QR code in the field to pull up the right asset and record the reading on the spot.

Locations that keep themselves current

An asset's location is captured when someone completes an inspection on it. No one types it in and no one forgets, and every update carries the coordinates, the time and who was standing there.

Everything you need to manage an asset

Asset registry

Every asset in one searchable register — make, model, serial number, warranty, client, site and zone. Add your own fields for whatever your industry has to record.

Explore

Full service history

Every job, inspection and note filed against the asset it happened to. Open a record and read what was done, by whom, and when — years back.

Explore

Downtime and availability

See which assets are actually costing you: hours down, response times and cost per asset, broken down by site or by technician.

Explore

Groups and sites

Organise assets by client, site and zone, or group them the way your operation is actually structured. A regional manager sees everything; a technician sees their own site.

Explore

Meters and readings

Record running hours, temperatures and pressures against the asset, and raise work automatically when a reading crosses its limit.

Explore

Scan and go, offline

Scan the QR code on an asset to open its record where you are standing — history, documents and open jobs. Keeps working in basements and on remote sites, and syncs later.

Asset management questions, answered

What the register holds, how your data gets into it, and where QAI stops.

Asset management is the record — what you own, where it is, what it cost. Asset maintenance is the work done to it: inspections, jobs, parts, meter readings. QAI does both off one record, which is the point. The history is attached to the asset rather than living in a separate system.

A CMMS manages maintenance while an asset is in service. An EAM wraps the whole lifecycle around that — procurement, depreciation, disposal — and is a far larger implementation. QAI is a CMMS with a proper asset register attached. If you are being asked to replace a finance system, you want an EAM.

Meter readings import from Excel or CSV, with a matching step that flags anything implausible before it is committed. Assets, sites and jobs come in through the REST API, and we do the mapping with you rather than handing you a template. There is no one-click ERP connector.

Every asset carries a QR code generated from its asset code, on the record beside its photo and nameplate. Print it, stick it on the equipment, and anyone on your team can scan it in the app to open that asset's history, open jobs, documents and meter readings where they are standing.

Assets, jobs and inspections are organised by client, site and zone, and can be grouped the way your operation is actually structured. A regional manager sees everything; a technician sees their own site. Role-based access, SSO and SAML are available for larger organisations. There is no parent-child asset tree — grouping is by site and zone, not by assembly.

Warranty expiry sits on the asset record alongside make, model, serial number and risk level. Labour at your own configured rate and the parts consumed roll up per asset, so you can see what it costs to keep running. QAI does not calculate depreciation — that stays in your finance system.

Yes, and it is not a cut-down companion. Job cards, checklists, asset history, meter readings, documents and parts are all there, photos and signatures are captured at the point of work, and it keeps working with no signal, syncing when the connection returns.

Most teams are working in the app within a few days: create the organisation, load the assets, invite the team. Larger operations with thousands of assets across several sites take two to four weeks, most of it spent agreeing the site and zone structure before anything is imported.

Stop guessing which asset fails next

Your asset data does not belong in a spreadsheet. Put every asset's health, history and true cost in one place, and repair-or-replace stops being a debate.
